You have questions, we have answers

Curiosity killed the cat, but it makes event organizers smarter. Here's what we're often asked:

Most often the standard badge size is 100x150 mm, in portrait (vertical) orientation. Sometimes organizers make 90x145mm or 105x120mm. It's all individual, at the discretion and preference of the Organizer.

Less often, but it happens, there's a landscape (horizontal) version, or other non-standard sizes. The optimal sticker size for a standard badge with participant data is 80x40 mm (78x40 mm). Accordingly, for horizontal badges, 100x40 mm works well.

This size is enough to print the necessary participant data, while the font remains easily readable from a distance, and the Organizer still has room for a logo and event name, sponsor logos and other elements, since a participant's badge is a great spot for extra advertising for your sponsors and partners. It's also a handout item that participants keep as a memento of the event.

A badge at an event is a networking tool for participants. It's much easier for participants to get to know each other when, upon meeting, they immediately see the person's name or which company they represent.

Sometimes organizers print only names on badges, but that's not very informative. First and last name is already a version that allows for better identification of a person. But a badge with first name, last name and company is one of the most common and most successful options for business events. Besides the company, you can also print the participant's job title as additional information.

So each organizer chooses on their own what exactly to print, depending on the data they collected about the participant. This could be:

A QR badge makes it easier to organize participant networking, gather attendance statistics for halls or specific zones of the venue, or conversely, restrict entry to zones the participant has no access to based on their ticket category. It also lets you collect statistics not only on a participant's entry to the venue, but also information on when the participant left the event.

If you plan to gather detailed statistics on how many participants listened to a talk in Hall 1 versus Hall 2, then when such a QR code on a participant's badge is scanned upon entering the hall, data is recorded showing that this particular person entered Hall No. 1 at 11:00. By the end of the day, you'll have complete statistics on how many participants were in the hall during any given time period.

If your venue has zones with a limited number of allowed entries, for example, once to the dining area, twice to the workshop area, this is also easy to control by scanning the QR code on participants' badges.

And if you want to help participants get to know each other better, such a QR code will serve as a participant's business card, and by scanning each other's codes they can save each other's contacts, or go straight to a chat to communicate, or move into the mobile app

Standard - when scanned, it opens a page with the contact details the participant provided at registration, whose badge is being scanned

Custom - the organizer chooses which information about the participant to embed in the QR code. Most often the Telegram field is used for this - where participants add their nickname. Scanning such a code lets you go straight to a Telegram chat with the person whose code you scanned. But the organizer can choose any other data field to be hidden in the QR code.

APP - this type of code embeds access to a personal chat with the participant in the RegToEVENT mobile app, which the organizer uses for networking, so that guests can more easily find how to contact each other after meeting.

If you know that your guests' company names have many characters, or their job titles don't fit even on 3 lines, then of course a larger sticker is needed - 100x60 mm would work as an option, otherwise all the participant's credentials would have to be printed in such small font that it would be hard to read from a distance.

At the same time, if you're only printing names or first and last names, a huge white sticker, that takes up half the badge isn't necessary - it's better to put that space to good use in the design.

When designing a badge, do NOT leave white or colored fields/frames for the sticker!

Make the whole badge in one style and color, simply leaving empty space for it, without important elements or logos.

That way it will look much better, and the sticker will be noticeable regardless.

With a large flow of people, hostesses can't always apply the sticker perfectly straight, and a 1-2 mm skew will be very noticeable if there are frames.

If your badge is a non-standard size or you want to make the sticker bigger/smaller, colored, that's possible - by discussing the layout in advance (no later than 10 business days before the event), we can select the optimal option in the range from 20 mm to 108 mm in width.

Examples of badge sticker designs

The minimum order is 2 registration points (3 if we're talking about traveling to other cities) But it all depends on how the participants' pre-registration was implemented, at what intensity they will be arriving, space limitations at the venue, etc. If you sent your guests tickets after registration (purchase) and they will arrive at the venue with tickets, then registering one guest takes up to 10 seconds.

What increases the registration time for one guest? If you're giving out handouts to guests, attaching a wristband, need to give the guest headphones for translation or a voting remote and record their number so you can later find who didn't return the equipment - add some extra time for all these seemingly ordinary little things.

Guests without tickets If you didn't send tickets to guests and we only have a guest list, and the search is done manually - this can take anywhere from a few seconds to a minute. It all depends on how loudly and clearly the guest states their full name, on the noise in the hall - whether the hostess heard them, and how tricky that last name is)))

Venue location and audience habits An important factor is the venue's location and how guests get there. If the venue is in a convenient place easy to reach by car and public transport - guests will arrive in even waves. If the venue is far away or has awkward transport links - guests will arrive in small "batches" as they make their way there. And if you've organized centralized guest transport by bus, naturally there will be a large but short-lived surge. Plus, if you have a recurring event, you already know the peculiarities of your audience. There are events where guests stand and wait for registration from 7 a.m., there are events where everyone arrives during breaks - to have lunch))), and there are events where half the guests will arrive in the evening - for the banquet part.

Taking all these facts into account, we can average that 1 registration point can handle 100 to 250 people per hour, depending on your conditions.

We do all the preliminary software and equipment setup work in advance and bring fully ready-to-go kits to your venue that just need to be switched on. So we decide on our own how many technical engineers will come to the venue - as a rule this depends on the number of registration points and installation conditions. It could be 1 person, it could be 2-3 At the same time, please note that we do not provide our own staff as hostesses. Either the organizer finds people themselves to work at the equipment and register guests, or we can share contacts of helpers we've worked with at other events, after the contract is signed.

Honestly, we don't know the limit of our servers ) In live practice, the maximum was 7900 visitors in one day. But programmatically and technically, we have no barriers to launching a stadium of 80,000 people.

So if you have a "large-scale event of 500 visitors" don't worry - that's a perfectly standard event, and by some measures even a small one)))

Yes it's needed, for fast, correct and maximally synchronized operation.

But it's possible without it. (IMPORTANT to know this in advance)

Our system also works offline, ensuring uninterrupted registration even if the internet goes down. Data automatically syncs once connected to the network, so you won't miss a single participant. There are some points that reduce universality and safety in the absence of a connection, but here you need to make the decision yourself - get internet, or the specifics of the event allow for pauses in synchronization.

We determine on our own how much time we'll need for setup. It can depend on the venue's features, but more on the amount of equipment. According to our internal rules: the equipment must be ready, and hostesses briefed, half an hour before registration starts. We won't arrive the night before or a day or two before the event just so the client "feels calmer"! Plugging equipment into an outlet isn't one of those processes that can go off-plan. If you do have an outlet, of course ))) If a client really, really wants to see that our equipment and we in general are the real deal - they can order and pay for an additional check-in time slot the day before the event.

Yes, that's possible. We have a service for setting up our software, and then you can use your own hardware. But please note that in this case we are not responsible for the physical soundness and working condition of your equipment! This service can be provided remotely without a visit to the location of the client.

We can scan almost any tickets from various services and custom-built modules for different CMS platforms. At least we haven't yet come across ones we couldn't handle))) All we'll need from you is an export of your participant database with the data embedded in the QR or barcodes of the tickets your participants received and will bring to the venue. After that we can import your database into our system, so that during check-in our system recognizes third-party tickets as "its own"

We're all human, and must be ready for force majeure. Only those who do nothing never make mistakes. But we always prepare seriously for events, and whenever possible bring backup equipment and consumables with us. And we're ready to resolve any unforeseen situations as quickly as possible. But if downtime at the registration desk isn't our fault: the power went out at the venue and you didn't warn us or order a UPS from us, there's no internet at the venue and no one warned us about its absence or unstable performance, then we can't be held responsible for situations and mishaps that happened through no fault of ours. But we'll think it over and maybe even come up with solutions, even if not the most ideal ones, but at least something possible given the situation. And yes - we do NOT show up at the venue under the influence of alcohol or drugs.

Yes, but you should understand in advance how best to set this up for your scenario. A hostess account doesn't allow adding new people. Because events vary, and hostesses who work at different events and make different acquaintances there might, out of the goodness of their heart add someone they know to the database. And you, as the organizer, may not want to see that person among your guests, or the event may be paid altogether, so entry is only possible after buying a ticket. That's why new registrations can only be added from the organizer's or co-organizer's account! If the task is to add people faster - the ideal option is to generate a QR code in advance that leads to a registration form. Then guests can scan the code at the desk and fill in their data. And then, depending on whether it's a free event where adding them is allowed, or a paid event where they must pay, you can print a badge for them.

Yes, it's possible. It often happens that even adult men and women make mistakes writing the names of their companies and job titles and even their full name((( But during check-in, hostesses can easily fix this. Even if it turns out that a company bought tickets for employees but sent someone else on the day of the event, replacing their data so that Joe doesn't walk around with a badge that says Jane - is easy and simple.

It can depend on the size of the hall or the entrance passage to the venue. The availability of internet and its speed. It's important to understand over what period of time all the guests will arrive. Will they have tickets for quick scanning, or will it be a manual search. Are the guests foreigners or not. Are separate ticket categories registered separately or all together, what should be handed to participants at check-in and does it need to be recorded, etc. How many volunteers you have available - if you put 2 people per registration desk, the process goes 1.5 - 2 times faster. And many more small nuances

But for a general idea, one point comfortably handles 150 people per hour. With a small line, up to 200 per hour, if there are few hostesses, a lot to hand out, and people without tickets - aim for 100 per hour. Our record was 267 per hour - but that's truly virtuoso work, and that includes recording voting remote numbers )))

We've had cases where a client ordered check-in in the morning for that same evening's event. But it's always a lottery - whether we have free equipment and staff capacity available for you. It's optimal to place an order 2-3 months in advance, to lock in the price without surcharges and reserve the date for your event. And adjust it if needed a couple of weeks before the event. Only services that don't care about clients, or that were built on a shoestring, would ask for such recklessness! When people's plans change and they don't know what tomorrow holds, they may put off buying a ticket to your event until the last moment. And they quite often buy a ticket right at the registration desk. We have all the modern tools to support this process. And importing new lists (which organizers often forget about) can be done even during the registration process itself

Our requirements are minimal: A table. After all, you can't put the equipment on the floor. Better to clarify right away the size of the laptop+printer kit, if you were picturing cabinets or cocktail tables! Also don't forget space for badges and handouts A power outlet. At least 1 - 220V, near the registration area!!! Not in the building next door 100 meters away. Internet. Could be Wi-Fi, could be wired (we'll bring our own router)

If you can't provide 220V power or internet, and you tell us about this in advance - we'll think about how to solve this, but we don't guarantee it.

If your check-in is outdoors! It is MANDATORY!!! to have umbrellas or a tent! In bright sunlight the scanner will only see screen glare, not the QR codes on tickets. And everyone standing at the desk will get sunburned and suffer heatstroke and will file complaints about improper working conditions. We will not set up equipment under the blazing sun if it isn't shaded by your canopies.

In cold weather the printer won't work outdoors, since printing relies on the heating temperature of the print head, and that's not realistic in freezing weather. We also won't set up equipment in the rain … There are no other special conditions.
